This policy explains what personal information Leeds Martial Arts College and LMA Interclub collect through this website and event registration service, why we use it, and the choices available to you.

1. Who we are
The service is operated by LP Promotions (Morley) Limited, using the Leeds Martial Arts College and LMA Interclub names. In this policy, “we”, “us” and “our” mean LP Promotions (Morley) Limited.

2. Information we collect
Depending on how you use the website or attend an event, we may collect:
- Competitor information: name, date of birth, age, email address, telephone number, club, coach, discipline, experience level, weight, previous bout experience, notes for the organiser, and the declarations and consents you submit.
- Optional competitor photo: a photo you choose to upload so organisers can identify you on the day. It is stored privately and is not published as part of the public website.
- Spectator ticket information: purchaser name, email address, telephone number, ticket quantity, and payment or order status.
- Payment and order information: checkout, payment, confirmation and refund-related identifiers and status. We do not store your full card number or card security code.
- Event media: photographs or video taken at an event where the relevant image-use consent has been given or another lawful basis applies.
- Technical and security information: IP address, browser/request information, timestamps and server logs used to protect the service, limit abuse and keep the organiser area secure.
3. How we use information
We use information to:
- process competitor registrations and spectator ticket orders;
- organise safe, appropriate interclub match-ups and event operations;
- take and reconcile payments and prevent fraud or duplicate orders;
- send registration, ticket, payment and important event emails;
- give authorised organisers the information needed to run the event;
- manage optional competitor identification photos;
- meet legal, accounting, insurance and safeguarding responsibilities; and
- secure, troubleshoot and improve the website and its administration.
Depending on the situation, our lawful basis may be taking steps at your request to provide the event service, performing an agreement with you, complying with a legal obligation, pursuing our legitimate interests in running a safe and secure event, or relying on consent. Where we rely on consent, you can withdraw it for future use by contacting us.
4. Who we share information with
We share information only where needed to run the service, meet our responsibilities, or protect people and the service. This may include:
- Leeds Martial Arts organisers and authorised event staff: competitor, coach, ticket and event-operation information.
- Stripe: secure payment processing and payment status. Stripe receives the information needed for checkout and handles card details under its own privacy terms.
- Resend: delivery of confirmation and operational emails, including the recipient email address and the relevant order details.
- Our hosting and storage infrastructure: hosting for the application, its database and private file storage for optional photos.
- Professional advisers, insurers, regulators or authorities: where disclosure is required or reasonably necessary for legal, safety, fraud-prevention or insurance purposes.
We do not sell personal information and do not use it for third-party advertising. The website does not intentionally use advertising pixels or session-recording tools.
5. Photos and image consent
The optional competitor photo is a private identification aid for authorised organisers. It is separate from the event photography and video consent checkbox, which covers possible use of event media on Leeds Martial Arts websites, social media and event promotion.
If you withdraw image consent, we will stop using the relevant image for future promotional use where reasonably practicable. Withdrawal does not affect use that already happened lawfully or media that has already been printed or shared by others.
6. Storage and retention
We use appropriate technical and organisational measures, including encrypted connections, access controls and private storage for competitor photos. No online service can guarantee absolute security.
We keep registration, order and payment records for as long as reasonably needed to administer the event, handle questions and disputes, meet accounting, legal, insurance and safeguarding requirements, and maintain necessary event archives. We delete or anonymise information when it is no longer needed. Optional competitor photos are deleted when the associated registration is deleted and are not intended to be retained as a public gallery.
7. Your rights
Subject to legal exceptions, you may ask us for access to, correction of, deletion of, or a copy of your personal information. You may also object to or ask us to restrict some processing, and withdraw consent where processing is based on consent.
Contact us at enquiries@mmaleeds.com with enough information for us to identify the relevant registration or order. We may need to verify your identity before acting. You can also complain to the UK Information Commissioner’s Office if you believe your data has not been handled lawfully.
8. Cookies and links
The public site is designed to work without advertising or tracking cookies. The organiser area uses a necessary session cookie to keep an authorised organiser signed in. Payment pages may set cookies under Stripe’s own policies when you use Stripe Checkout.
This website may link to third-party services. Their privacy policies apply to information they collect directly. See our Terms of service for the rules that apply when using this website and attending an event.
9. Children and young competitors
The interclub accepts junior competitors where the event rules allow it. A parent or legal guardian must complete the registration and confirmations for a child where required, provide accurate information, and make sure the child is appropriately supervised. We do not knowingly invite children to create independent accounts.
10. Changes and contact
We may update this policy when the service, event arrangements or legal requirements change. The latest version will be published on this page with its updated date.
